Project Description

Job Title:

Legal Data Entry Clerk for Intellectual Property Applications and Registrations

Objective:

Accurately record and maintain data related to intellectual property (IP) applications and registrations, including patents, trademarks, and copyrights. Ensure all records are properly entered, updated, and organized for compliance, legal reference, and reporting purposes.

Scope of Work:

  • Enter details of IP applications (patents, trademarks, copyrights) into spreadsheets or legal databases.

  • Record applicant information, filing dates, and registration numbers.

  • Track status of applications (filed, pending, approved, rejected).

  • Update renewal deadlines, opposition status, and legal correspondence.

  • Verify data against source documents such as legal filings and certificates.

  • Flag incomplete, missing, or duplicate entries for review.

  • Prepare a Word report summarizing new applications, renewals, and status updates.

Required Data Fields:

  • Applicant / Owner Name

  • Application / Filing Number

  • Type of IP (Patent, Trademark, Copyright, Design)

  • Filing Date

  • Registration Number (if granted)

  • Status (Filed, Pending, Approved, Rejected)

  • Renewal / Expiry Date

  • Class / Category of Registration

  • Attorney / Agent Name

  • Notes / Comments

Instructions:

  • Deadline: Submit all deliverables by 5th September 2025.

  • Material Source: All source material and reference files will be shared upon hire.

  • Deliverables: Two documents must be submitted:

    1. The finalized Excel/Spreadsheet containing all entries.

    2. A Word report summarizing work completed, data updates, and any flagged issues.
